How to manage and track refunds in CommBilling

Managing and tracking refunds in CommBilling is straightforward, with a dedicated Refunds tab that provides a comprehensive overview of all refund transactions. This tab includes helpful features like search, filters, and bulk actions to streamline refund management.

Here’s a breakdown of how to use each feature effectively.

Refunds Tab Overview


In the Refunds tab, you will find a detailed list of all refund transactions. Each entry shows essential information, making it easy to track refunds and manage them efficiently.

  • Columns in the Refunds Tab. Each column provides specific details for managing refunds:

- Order Number: Shows the number of the order

-Customer Name:
Shows the name of the customer for each refund.

-Refund Date: Displays the date the refund was processed.

-Refund Amount: Indicates the amount refunded to the customer.

-Credit Note Number
: Links the refund to its credit note generated, allowing quick reference.

-Credit Note Status
: Displays the current status (e.g., ungenerated, generated) of the credit note.

  • Search Bar

The search bar at the top of the Refunds tab allows you to quickly locate specific refunds by entering keywords, such as the customer’s name or invoice number. This is especially useful for finding specific transactions within a large volume of refunds.

  • Date Range Filter

To view refunds within a particular timeframe, use the Date Range Filter. By selecting a specific date range, you can quickly narrow down the list to refunds issued within that period. This feature is helpful for monthly or quarterly financial reviews.

  • Bulk Action Button

The Bulk Action button enables you to perform actions on multiple refunds simultaneously. After selecting multiple entries, click Bulk Action to choose from options like exporting refunds as CSV. This feature saves time when managing multiple refunds.

  • Generate Credit Note Button

To process a new refund, click the Generate Credit Note button. This action creates a credit note associated with the original invoice, which can be sent to the customer as proof of the refund. The credit note number will appear in the Credit Note Number column once generated.
